Automating business processes with Robotic Process Automation (RPA) technology allows your business to utilize it’s most valuable assets, it’s workers, effectively. Large corporations have already seen the results of implementing RPA software.

Increased ROI and employee productivity are just the tip of the iceberg as the technology behind the bots are increasing at a rapid rate.

Automatic process discovery, and successfully combining Machine Learning with Artificial Intelligence means it’s now easier than ever for businesses to implement, test and roll out automation.

Kryon automated process discovery enables businesses an 80% faster RPA adoption, allowing quicker scaling up of operations, 0% error in their processes and a 70% increase in employee efficiency.

But without the right RPA strategy and roadmap in place, you run the risk of running a poorly optimized automation campaign. You’ll want to avoid the pitfalls such as slow deployment, automation misuse, and lack of clear KPIs to measure success.

8 Step Strategy for Robotic Process Automation (RPA) Success

Here is your 8-step roadmap for implementing and optimizing your own long-term RPA strategy.

Awareness – Before you begin diligently trying to implement RPA into your business, first create awareness within your company, and ensure that stakeholders have an appetite for change and won’t shy away from digital transformation. Remember to keep HR informed of all plans and to communicate the possible changes to employees, in order to address any concerns in an open and honest way.

Stack the Deck in Your Favor – People hate change. Businesses especially when faced with low-risk, low-reward situations. To avoid such doubt, you’ll need:

An Advocate – Choose a high-level supporter within the business, who preferably has some authority over the budget. Without such an advocate you may find it hard to get your automation project off the ground.

Choice of automation – You’ll want to choose the best processes to automate to showcase as examples. Highlight the large possible gains and ignore the low gains, for now, your goal is to make a strong business case

Define Success – Identify the problems you’ll solve with automation, then show how you’re going to measure and confirm its success with simple KPIs that everyone can A) understand, and B) agree with.

Examples of strong KPIs to use:

  • Increased ROI
  • Reduced Number Of Errors
  • Improved Compliance
  • Increased Productivity
  • Higher Employee Engagement and Motivation

Selecting an RPA Vendor – It’s critical to select a vendor that will match the following criteria:

  • Long-term partnership
  • User-friendly software
  • The full level of support available
  • Strong security protocols
  • Ability to scale
  • Advanced education platform

Proof of concept – Summaries your RPA project with a simple, yet impactful proof of concept. Target a process to automate that will offer significant gains or increase in your chosen KPI. It’s also helpful to include as many technology systems and apps as possible to showcase the manoeuvrability RPA has to communicate between databases and programs.

RPA pilot – If you’ve made it this far, congratulations! The next step in your RPA roadmap is to perform a successful test of your concept. The pilot must follow your design and meet your chosen KPI requirements. It’s important that you’re open to feedback and suggestions from stakeholders as it will onboard them to the project. Even if your pilot isn’t successful, you’ll be able to showcase it’s potential. Make changes and run another test. By failing first, and then succeeding, any naysayers of the project will be shown how adaptive automation is.

RPA Team of Professionals – If budget and management allow you a team of RPA helpers – ensure it can fulfil both educational and technological roles. It will act as the center of your RPA expertise and assistance to the whole business and will be critical in optimizing and configuring RPA.

Expansion – At this stage, expansion is about deepening and extending the role of automation across the business. Maintain clear goals and communicate successes, to help identify, implement and optimize your team’s ability to run successful automation campaigns.

Digital transformation – If steps 1-7 are successful, then this means automation will have become a key player in your businesses structure and your company will have transformed it’s digital DNA.

It’s important not to rush any stage of the strategy as it can cause delays and possibly kill the project entirely.

Without proper RPA training, communication, IT integration, successful criteria and employee onboarding for automation to take place, you may find yourself fighting an uphill battle.

RPA is a powerful tool that can transform your business, but only as long as you have a clear strategy in place.
